Inviting candidates

Candidates never create an account. Every route into an assessment is a link, and the link is what carries their identity and their permissions.

Individual invitations

From an assessment, open Invitations and add an email address, optionally with the candidate's name and a personal message.

That produces a unique link bound to that one address, emailed to the candidate. Each invitation tracks its own state — invited, opened, completed — so the list doubles as your progress view for that assessment.

Attempts

An invitation allows one attempt by default. Raise it when you want to allow a retake.

The count only advances when a candidate actually starts. Someone who opens the link and closes it has not used their attempt. Someone whose deadline expires while they are away has.

Expiry

Set an expiry date and the link stops working after it. Leave it empty and the link stays valid until the assessment's own end date, if it has one.

Expiry is worth setting on a live hiring funnel. It stops a link circulating months later, and it gives the retention clock something to work from for candidates who never accepted — see Candidate data.

Shared links

An assessment can also publish a single link that anyone can open, rather than one link per person. This is the right tool for a university cohort, a careers-page listing or an open call, where you do not have the email addresses in advance.

Candidates on a shared link identify themselves through the intake form instead of through the link itself. That is the trade-off: you get reach, and you lose the guarantee that the person who sat the assessment is the person you invited.

There is also a private link, off by default, for cases where you want a direct URL that is not the public one.

What the candidate sees

In order: an intake form asking for the fields you configured, a privacy notice explaining what will be recorded, an instructions screen listing any proctoring you enabled, and then the assessment.

The privacy notice is generated from your actual settings. If you enable screenshots, it says so. This is not optional copy and it cannot be edited to say less than is true.

Email deliverability

Invitations are sent from our domain, so nothing needs configuring on yours.

If a candidate reports no email: check the invitation's status in the list first. Invited means we sent it. Ask them to check spam, and confirm the address for a typo — the link is bound to the exact address, so a typo cannot be fixed by forwarding the email to the right person. Delete the invitation and re-send to the corrected address instead.

Resending and revoking

Re-sending an invitation delivers the same link again. Deleting one invalidates the link immediately, including for a candidate who has it open — use it when an assessment has gone out to the wrong person.
